Waving holds two kinds of personal data. Data about you, the person with the account, and data about the people you email, which you put in and we process on your behalf. This page covers both, then the things we never do with either.
Who we are
Waving is run by Fully Coded Solutions Limited, registered in England and Wales, company number 8649718, registered office Barn Owl Cottage, Chapel Hill, Ponsanooth, TR3 7ET. We are registered with the Information Commissioner’s Office, registration number ZA046393. For anything on this page, email hello@waving.co.uk.
Data about you
When you ask for early access we collect your name, work email, company website, what you use to find leads, and roughly how many emails you send a week. The form is handled by Formspree, who pass it to us and keep a copy under their own terms. We keep it until you have an account or until you tell us to delete it, whichever is first.
When you have an account we hold your name, email, company details, the domains you send from, the DNS records we asked you to add, and a record of when you signed in. We use this to run the service and to contact you about it. The lawful basis is our contract with you, and for security records, our legitimate interest in keeping the service safe.
We do not sell this, share it for marketing, or use it to build a profile of you.
Data about the people you email
For each lead you add we hold what you gave us: usually a name, a work email address, a company, and the reason you are writing. We hold the emails you sent them, any reply they sent back, and whether the email was delivered, bounced or complained about. We hold this so the service can work, in particular so that a reply stops the follow-up and a “no” is remembered.
For this data you are the controller and we are the processor. We act only on your instructions, which are the settings in your account and this policy. We do not use lead data for anything of our own. We do not combine one customer’s leads with another’s.
If a lead asks you what you hold on them, or asks to be removed, tell us and we will give you what we have within two working days. If they ask us directly, we will suppress their address across the whole platform straight away and pass the request to you.
Where it lives and how long
Everything is stored in the United Kingdom or the European Union. Email is sent and received through Amazon Web Services in the London region. The application and its database run on a server in [hosting provider and location]. We keep backups for 30 days.
Lead data stays as long as your account does. When an account closes we delete its database within 30 days, and you can ask for an export before then. Suppression records are the exception: we keep the addresses of people who have said no so that we can keep that promise even if you come back.
Who else sees it
- Amazon Web Services, London region, for sending and receiving email and for the events that tell us what happened to it.
- Google Fonts, which serves the typeface on this website, so your browser sends Google your IP address when a page loads. The app itself does not use it.
Nobody else. We do not use analytics, advertising pixels or session recording on this site or in the app.
Cookies
This website sets no cookies. The app sets one, to keep you signed in, which is deleted when you sign out. There is no banner because there is nothing to consent to.
What we never do
We do not put tracking pixels in emails, so we never know whether an email was opened. We do not rewrite links, so we never know whether one was clicked. We do not read the content of replies for any purpose except matching them to the person who sent them and to your lead. There is nothing in the message that phones home.
Your rights
You can ask us what we hold about you, ask us to correct it, ask us to delete it, ask for a copy, or object to how we use it. Email hello@waving.co.uk and we will answer within a month, usually much sooner. If you are not happy with the answer you can complain to the Information Commissioner’s Office at ico.org.uk.
If you received an email sent through Waving
Reply to it and say you do not want to hear from them. That suppresses your address across the sender’s account automatically. If you would rather not reply, forward it to hello@waving.co.uk and we will do it for you and tell the sender.
Changes
If we change this policy in a way that matters we will email account holders before it takes effect. The date at the top is when it last changed.
